Useful knowledge needs a current source, a scope, an owner, and a clear relationship to the next authorized action.

Bridge the gap between documents and work

Product instructions may live in a drive, sales guidance in a group chat, and service procedures in a spreadsheet. A knowledge base improves storage and search, but a real task still needs judgment about which rule applies.

For a product launch, title guidelines and image requirements are only part of the process. The agent also needs the target market, available product evidence, pricing permissions, and the person who resolves missing information.

Executable knowledge explains when to use information, who may use it, and what may happen next.

Separate facts, rules, experience, and examples

Product dimensions are facts. Discount approvals are rules. A past campaign review is experience. A sample headline is an example. They have different update cycles and authority.

Give facts a source and timestamp; give rules an owner, version, and scope. Experience can inform judgment without overriding a current rule. Examples should guide expression without masquerading as current product information.

Write SOPs as operating conditions

A numbered list assumes a straight path. Real work includes missing fields, unavailable owners, failed interfaces, and expired approvals. Those branches determine whether a process can run reliably.

Specify the trigger, required inputs, permitted actions, approval points, completion conditions, and failure handling. Define where records are stored and when retries or escalation should stop.

Start with the material people actually use

Choose an active task and collect the documents, records, and steps people already depend on. Confirm which information is current, identify owners, and make the permissions explicit.

Let the agent first prepare information and suggest steps. Use real runs to find missing fields and exception paths before granting more access. Record why people make corrections so the knowledge can improve.

Knowledge becomes a business asset when a person or agent can find the right version and take the right next step within its permissions.
